E-invoice and e-way bill
For Indian Entities on Scale, posting a B2B invoice registers it on the government e-invoice system and prints the IRN and signed QR on it. E-way bills come from the invoice or the delivery, filled from the document, on SmartMy's own connection to NIC or through your GSP.
PLANSScale only
Built from NIC's published API; not yet run on a real NIC or GSP connection. We test it with you before go-live.
The problem it solves
- Invoices are typed a second time into a GSP's site to get the IRN.
- The truck waits at the factory gate while someone makes the e-way bill on the government site.
- An invoice is refused by the portal for a missing HSN or PIN code, and nobody finds out until the buyer calls.
How it works
- Tick E-Invoicing for each Entity above the turnover limit under Settings > Accounting > Indian Integration. Add the connections under Accounting > Configuration > GST Portal Connections, directly with NIC or through your GSP.
- Before an invoice posts, SmartMy checks what the portal would refuse: HSN on every line, GST, GSTINs, addresses, 6-digit PIN, state and the invoice number.
- Posting a B2B, export, SEZ or deemed export invoice, credit note or debit note sends it at once. The IRN, acknowledgement and signed QR come back and print on the invoice.
- When goods leave, press E-Way Bill on the posted invoice or on the delivery. The parties, goods, HSN codes and values are already on the form. Add the transporter, vehicle and distance and press Generate E-Way Bill.
- On the road, update the vehicle (Part-B), extend the validity or cancel, from the e-way bill itself.
Everything it does
E-invoice (IRN)
- B2B, export, SEZ and deemed export invoices, credit notes and debit notes; sales to consumers and unregistered buyers are not e-invoiced
- IRN, acknowledgement number and date, and signed QR kept on the invoice (tab E-Invoice / E-Way Bill) and printed on its PDF
- Incomplete data stops posting to start with (Stop Posting Incomplete E-Invoices)
- A refusal shows on the invoice in red with the portal's code; fix it and press Send E-Invoice
- Portal not reachable: the invoice stays To Send and is tried again every 30 minutes; filter E-Invoice Not Sent lists them
Cancelling
- Cancel E-Invoice within 24 hours of the IRN, with a reason and a remark
- Not while the IRN has an active e-way bill: cancel that first
- After 24 hours, make a credit note; an invoice with an IRN cannot go back to draft
E-way bills
- From a posted customer invoice or credit note (by its IRN when it has one), or from a delivery or receipt
- Deliveries carry the sales order's prices and taxes
- Transporter (GSTIN or TRANSIN), mode and distance (0 lets the portal work it out from the PIN codes). Vehicle number and type, or the transport document for rail, air or ship
- Part-A only by road: the transporter adds the vehicle later
- Update Part-B (Vehicle), Extend Validity (8 hours either side of its end), Cancel within 24 hours, or mark one Cancelled on the Portal
- A blue box on documents worth more than the limit (Rs 50,000 to start with) that have no e-way bill
- All e-way bills under Accounting > Customers > E-Way Bills and Inventory > Operations > Transfers > E-Way Bills
Job work challans
- Built: an e-way bill made for a job work transfer is a delivery challan with the sub-type Job Work or Job Work Returns. It is at cost and without tax
- Not yet usable: job work transfers are internal moves, and the E-Way Bill button shows only on deliveries and receipts. Until this is fixed, make the job work e-way bill on the portal
The connection
- One connection per Entity (GST number) for e-invoice and one for e-way bill
- Direct NIC API, or a GSP with its URL, headers, paths, and NIC encryption or plain JSON
- Sandbox (to start with) or Production; Test Sign-in checks it
- Passwords and secrets are stored encrypted and never written to logs
- No per-invoice charge from us; you pay your GSP if you use one

Questions
Do we need a GSP?
No, if NIC gives your Entity direct API access. Otherwise use your GSP's URL and keys. Either way SmartMy sends the invoices itself. Is it live with NIC today?
Not yet. It is built from NIC's published API and checks invoices against NIC's rules before sending. We test it with you before go-live.Can we make e-way bills for goods sent to job workers?
Not from SmartMy yet. The job work challan form is built, but the button does not show on job work transfers. Make those e-way bills on the portal for now.Can we cancel an e-invoice?
Yes, within 24 hours of the IRN and after cancelling its e-way bill. After that, make a credit note.Which plan has it?
Scale, for Indian Entities with the India pack. Starter and Growth do not include e-invoice or e-way bill.Related features
