Staff chat
Property managers, agents, the front desk and accounts chat inside SmartMy, one to one or in groups, with photos and files. Nobody needs a colleague's personal number to ask about a key.
PLANSEvery plan
The problem it solves
- An agent sends a photo of a damaged wall to the manager's personal WhatsApp, and it leaves with the phone.
- Talk about a tenant gets mixed into family groups.
- The letting team, maintenance and accounts talk across three apps.
How it works
- Click Chat in the main menu of the back office.
- Click New, then Message someone, and choose a colleague. One chat per pair of people.
- For a team, click New, then New group, name it, such as "Tower B maintenance", and tick the people.
- Type and send; the paperclip adds photos or files. Enter sends; Shift + Enter starts a new line.
- Mute a busy group, search old messages, or leave a group you no longer need.
Everything it does
Who you can message
- Active back-office users who share an Entity with you, including colleagues in other SmartMy products
- Tenants, owners, members, guests and vendors are never in staff chat
Conversations
- Group name up to 60 characters; message up to 4,000 characters, with photos or files
- Unread counts in the list; ticks when sent and when seen
Use it with your Lease records
- Talk about one repair, lease or enquiry belongs on that record: Log note writes an internal note the tenant never sees
- Staff chat is for everything else: who shows a flat tomorrow, where a key is, a day's plan
- Several Entities: you can message colleagues of any Entity you share with them
What it does not do
- No calls or voice notes
- No phone notifications for chats; no chat in either Lease app
Who uses it
Letting agentAsks the manager about a viewing or a key.
Property managerRuns groups for each building team.
AccountsAsks about a bill or a cheque.
Where you use it
- Web: Chat in the back office main menu; on a phone browser, the address ending in /chat
- Not in the SmartMy Lease Staff app or the SmartMy Lease app
- Not with tenants: tenants write through repair requests, notices and their web page

Email and the in-app inbox work with no set-up; a few rental events can also go by WhatsApp or SMS.CHECKS, DEPOSITS AND REPAIRSRepair requests with service levels and work ordersTenants report repairs with photos from their page or the app. Each request gets a category and urgency, and respond-by and fix-by times from your service levels. It also gets work orders to vendors, a recharge to the tenant when they pay, and the tenant's rating.
