Enquiries to CRM opportunities, and units sold through quotes

Every Lease enquiry opens or joins a CRM opportunity. A CRM lead can become a Lease enquiry by a button or at a stage you choose. Units for sale get a sale price and a Sale Quote button; confirming the quote marks the unit sold.

The problem it solves

  • Leads from ads and chats sit in CRM while the letting team works from its own list, so nobody sees the whole funnel.
  • The same person is entered twice, once in each list.
  • A developer sells some flats and lets others, and a sold flat still shows as available.

How it works

  1. Leads from chats, ad forms and your website arrive in CRM. Press Make Lease Enquiry on a lead, or set a CRM stage that makes the enquiry by itself.
  2. An enquiry made in Lease joins the person's open CRM lead, matched by contact, email or the last ten phone digits. If there is none, it opens a new opportunity.
  3. The lead moves forward to your With an Enquiry stage, and to your Applied stage when the enquiry reaches Applied. It never moves back.
  4. Person, phone, email, agent and budget changes on the enquiry are copied to the lead; won and lost are kept in step both ways.
  5. To sell a unit, give it a sale price on its Sale tab and press Sale Quote. A quotation opens with the unit as its line. Confirm it and the unit is marked Sold, with the buyer and the date.

Everything it does

From CRM to Lease

  • Make Lease Enquiry on the lead: person, phone, email, agent, notes and source copied
  • Monthly budget: the lead's expected revenue divided by 12
  • Source from the lead's UTM source and medium, such as WhatsApp or Website; social networks as Social
  • Make the Lease Enquiry at Stage: empty to start with (by hand only)

From Lease to CRM

  • Lease Enquiries as CRM Opportunities: on to start with
  • Expected revenue: 12 times the monthly budget
  • Joins an open lead not yet tied to an enquiry; else a new opportunity in the Entity's sales team
  • Stages: With an Enquiry (the second open stage) and Applied (the third), both changeable or empty

Kept in step

  • Won in either place marks the other won; lost in CRM marks the enquiry lost with the CRM reason in its notes
  • Reopening the enquiry brings the opportunity back

Selling units

  • Sale Price on the unit; Sale Quote opens a quotation with the product Property Unit
  • Confirming marks the unit Sold (ribbon), with Sold by, Buyer and Sold On; a unit already sold cannot be sold again
  • Cancelling the order frees the unit
  • Payment plans and handing over ownership stay with the order and the owners part

Questions

Will the same person end up as two leads?

Not usually. A Lease enquiry joins the person's open lead that has no enquiry yet. It is matched by contact, then email, then the last ten digits of the phone.

Can CRM move a lead backwards?

No. The link only moves leads forward to the stages you set, never back.

Can we sell some units and let others?

Yes. A unit with a sale price gets Sale Quote. Confirming the quote marks it Sold; cancelling the order frees it.

Are instalment plans for buyers built?

No. The sale is one quotation and its invoices; payment plans for buyers are not part of Lease.
