Counter sales
Discounts and receipt copies approved by a manager
Decide what a cashier may do alone at the counter, and what needs a supervisor. Discounts above a limit, items on the house, refunds, receipt copies and cash moves can all need one. The supervisor approves on the cashier's screen with a password or a PIN, and every approval is kept.
PlansFrom Growth
The problem it solves
- Discounts are given at the counter with no limit and no record of who allowed them.
- A receipt is printed again and used for a second refund.
- Cash goes in or out of the drawer and the difference at closing is just written off.
How it works
- 01
On each register, set the limits: Discount Without Approval (10 % to start with), Discount With a Supervisor (25 %) and Most Discount (50 %).
- 02
A cashier who goes above their limit sees "A supervisor approves" with what it is for, such as "Brake pads: 20% discount".
- 03
The supervisor types their login and password on the cashier's screen, or picks their name and types their PIN on a shared counter.
- 04
The cashier completes the sale. The order shows Approved By; the approval works once and only within 5 minutes.
- 05
Managers read every approval in the list of counter approvals, grouped by kind or by who decided.
Everything it does
What needs approval
- A refund: a supervisor
- A receipt copy, where the register has Reprints Need a Supervisor (off to start with); Ask the Reason for Reprints is off too
- Copies are printed as DUPLICATE COPY with their number
- A discount or a lowered price above the cashier's limit: a supervisor approves up to Discount With a Supervisor. A POS manager approves up to Most Discount; above it, refused
- An item or a bill on the house: a supervisor or a manager, as the register says; a manager above the register's amount
- A cash move above 1,000 and a cash difference at closing above 50: a supervisor
How it is decided
- At the counter, at once: nothing waits in a queue
- By login and password, or by PIN on a shared counter
- A cashier who is a supervisor is not asked
- Wrong password: refused; five wrong PINs lock that PIN for 5 minutes
- Discount limits are judged on the result: how far the price paid is below the list price
Through the approval chain
- Each approval is a request of the chain Counter approval, one per Entity, made by itself
- It starts with one level: the supervisors, or the POS managers where the limit asks for a manager
- Keep it at one level: a counter approval is decided in one step. A second level makes the action refused with "needs one more approval"
- You can change who approves the level; the chain is set up under the counter's Approval Chains
The record
- List of counter approvals: date, kind (sale discount or on the house, refund, cash in or out, cash difference, reprint, other), what, order and session. It also shows amount, supervisor or manager, who asked and who decided
- Lines cannot be changed or deleted
Who uses it
Where you use it
- Web: the counter's selling screen, and the list of counter approvals under the counter's reports
- The SmartMy Garage app: Counter > Counter Sales, with the supervisor's login or PIN on the cashier's phone. Built and in testing, not in the app stores yet.
What you control
Settings
- Discount Without Approval: 10 %; With a Supervisor: 25 %; Most Discount: 50 %
- Cash Move Without Approval: 1,000; Cash Difference Without Approval: 50
- Reprints Need a Supervisor: off; Ask the Reason for Reprints: off
- Complimentary needs a supervisor or a manager, and the amount above which a manager approves (0: never)
Approvals
- Counter approval: one level, the supervisors (or POS managers), decided at the counter in one step
Messages and alerts
- Request Waits for Your Approval: today also sent to the supervisors of the level when someone other than the cashier approves at the counter. It is already decided when they open it
FAQ
Questions, answered.
Can two managers have to approve a big discount?
Not at the counter. A counter approval is decided in one step by one supervisor or POS manager. Use the discount limits to send larger discounts to a POS manager.
Can a supervisor approve from their own phone?
No. The supervisor approves on the cashier's screen, with their password or PIN. Nothing waits in a queue.
Can we see who gave which discounts?
Yes. The list of counter approvals shows each one with what it was for, the amount and who decided. Group it by who decided.
Do receipt copies always need approval?
Only if you tick Reprints Need a Supervisor on the register. It is off to start with so customers do not wait.
