Kitchen staff roster and medical fitness
With SmartMy HRMS, each kitchen lists its staff with the end date of their medical fitness certificate, and warns about anyone without a valid one. The kitchen managers and the cook are told 30 and 7 days before a certificate ends and the day after it ended.
PLANSEvery planWith SmartMy HRMS
The problem it solves
- The food safety inspector asks for every cook's medical certificate, and half are in a drawer, expired.
- A cook whose certificate ran out last month is still on the tawa.
- The mess manager keeps a separate notebook of who is on leave, which never matches HR.
- Nobody remembers to send staff for their check-up until the inspection is announced.
How it works
- In SmartMy HRMS, add each cook's medical fitness certificate as an employee document of the type Medical fitness certificate, with its issue and expiry dates.
- In SmartMy Feast, open Food Service > Configuration > Places > Kitchens, open the kitchen and add the employees on the Kitchen Staff tab.
- The list shows each person's designation and Medically Fit Until. A line without a date is red, and a warning at the top counts the staff without a valid certificate.
- A daily job tells the kitchen's managers and the staff member 30 days and 7 days before a certificate ends. It tells them again the day after it ended.
- The cook renews the certificate; HR adds the new document and the date moves on by itself.
Everything it does
Medical fitness
- Taken from SmartMy HRMS employee documents of the type Medical fitness certificate
- Valid on a day when issued on or before it and valid until on or after it; the latest end date counts
- Medically Fit Until on each staff line, red when there is none
- The kitchen's warning: how many staff are without a valid certificate today
Reminders
- 30 days and 7 days before the certificate ends
- The day after it ended, saying the person should not work in the kitchen until it is renewed
- To the managers of every kitchen the person works in, and to the person
The roster of the day
- Worked out from SmartMy HRMS for each kitchen's staff: the shift, Off, Weekly off, a holiday, or a full day of leave
- A shift rostered for that very day wins over the weekly off and is noted Working on weekly off
- No Feast screen shows it yet; read the roster in SmartMy HRMS

A reading out of range or a failed check reaches the kitchen managers at once.PORTAL AND APPSChef and storekeeper appsA tablet in the kitchen lets the chef start and finish production, record leftovers and plate waste, log fridge temperatures and keep food samples. A staff meal policy decides what the organisation pays: free, a subsidy per meal or a percentage, or nothing. The policy can differ by department, category, designation, grade or location, and the organisation's share is charged to the department's cost centre.KITCHEN PRODUCTIONRecipes, forecasts and production plansWrite each dish as a recipe with its yield, preparation loss and cost. Each meal gets a forecast of how many will eat and what to cook. The kitchen's day becomes a production plan with the raw materials it needs. Any shortfall goes to the store in one click.
