Dealer stock and secondary sales
Each dealer's closing stock and its sales to retailers, item by item, reach you from the dealer portal, an Excel sheet or your office. Sell-through shows what really left the dealer's shelf, and primary sits beside secondary for every dealer and item.
PLANSFrom Growth
The problem it solves
- You know what you billed to dealers, but not what they sold on to retailers.
- Dealers send stock figures on WhatsApp in their own format, and someone retypes them every month.
- A dealer's reported sales do not add up with what you delivered and what is left on its shelf.
- Scheme claims arrive with no sales figures beside them to check against.
How it works
- Choose how often dealers report: every week or every month (monthly to start with). Set How the Dealer Reports on each dealer: Reports Stock and Sales, or Reports Stock Only.
- The dealer opens Stock and Sales on its portal and picks Closing stock or Sales to retailers. It types quantities, and values for sales, then presses Send.
- Or your office makes a Dealer Stock or Secondary Sales record under Market and presses Upload from Excel: item code or name, quantity, value, retailer. Rows whose item is not found are listed.
- A report is submitted and then fixed. Submitted lines feed every report: Secondary Sales Analysis, Primary and Secondary, Outlet Reach and the market measures.
- Run Sell-Through for a dealer and a period: opening stock plus what you delivered, less closing stock, against the sales it reported. The gap shows unreported sales or wrong stock.
Everything it does
Ways the figures come in
- Dealer portal, Stock and Sales page: closing stock on a date, or sales to retailers for a period, per item; empty rows are left out
- Excel upload by your office: column 1 item code, barcode or name, then quantity, value and retailer; a heading row is skipped
- Dealers selling from SmartMy Trade, on Tally or on BUSY: figures come by themselves (see Dealers on SmartMy Trade, Tally or BUSY)
- Delivered retailer orders count as the dealer's secondary sales (Scale, with retailer ordering)
What each report holds
- Stock report: dealer, Stock On date, source, items and quantities, Draft or Submitted
- Sales report: dealer, From and To dates, source, lines of item, retailer, quantity and value, total
- Retailer as Named: the retailer's name as the dealer wrote it, kept when it is not one of your retailers yet
- An empty stock report, or a sales period that ends before it starts, cannot be submitted
Reports
- Secondary Sales Analysis: pivot, graph and list by item, retailer, dealer, area, month and source
- Primary and Secondary: your posted bills and credit notes to dealers beside their reported sales, by area, dealer, item, category and month
- Sell-Through: opening, received, closing, sold from stock, sold as reported, and the gap, per item
- Outlet Reach: retailers active, lapsed or never bought in 90 days, and new in 30 days, by dealer and area
Reminders
- Stock and Sales Report Due goes on Mondays (weekly) or on the 1st (monthly). It goes to dealers who report by portal and have not sent stock in the period
- Dealers whose figures come by themselves (SmartMy Trade, Tally, BUSY) are not chased
- A stock-only dealer is asked for stock only
Who uses it
DealerSends closing stock and sales to retailers on the portal's Stock and Sales page.
Office staffTypes or uploads dealers' sheets from Excel and submits them.
Distribution ManagerCompares primary with secondary across every area and checks claims against reported sales.
Where you use it
- Web: Distribution > Market > Dealers > Dealer Stock and Secondary Sales; Reports > Sales > Sell-Through, Secondary Sales Analysis, Primary and Secondary, Outlet Reach
- Dealer portal: Stock and Sales (closing stock or sales to retailers, typed per item)
- Not on the dealer portal: Excel upload and a retailer per line; the office uploads sheets that name retailers
- Not in the salesman app: dealers' stock and sales are not entered from the phone
What you control
Settings
- Dealers Report: Every Week or Every Month (Every Month to start with)
- How the Dealer Reports, per dealer: Reports Stock and Sales (the default) or Reports Stock Only
Notifications
- Stock and Sales Report Due: to dealers who have not reported, on Monday or the 1st. It goes by email and in the app, SMS from Growth and WhatsApp on Scale. A dealer can switch it off; it waits for quiet hours to end
Works with
SmartMy TradeA dealer that bills from SmartMy Trade in your database sends its secondary sales and stock by itself.
Questions
Can a dealer upload its Excel sheet on the portal?
Not yet. On the portal the dealer types quantities per item. Your office uploads Excel sheets from the back office, including the retailer column. What does sell-through tell me?
For one dealer and period it works out sales from stock: opening plus what you delivered, less closing. The gap against reported sales shows missing sales or wrong stock. Can a dealer correct a report after sending it?
A submitted report is fixed. Ask the dealer to send a new one, or your office records the correction.Which plan has it?
Growth and Scale. Retailer orders that count as secondary sales come with Scale.Related features
