Dealers on SmartMy Trade, Tally or BUSY

A dealer can bill from SmartMy Trade in its own entity in your database, or stay on its Tally or BUSY. Either way its sales and stock of your items reach you every day, with nothing typed.
PLANSFrom Growth
Built and tested on our systems with a stand-in Tally and BUSY; not yet run against a dealer's real TallyPrime or BUSY.

The problem it solves

  • Dealers will not type their sales twice, in their books and again on your portal.
  • The figures you do get are a month old and in a different format from every dealer.
  • A dealer that sells five brands will not hand you its whole books.
  • Item names in the dealer's books are not your item codes.

How it works

  1. Pick the way per dealer in How the Dealer Reports: Sells from SmartMy, Sends from Its Tally, Sends from Its BUSY, or the portal.
  2. Sells from SmartMy: a distribution manager presses Sells from SmartMy: Set Up. The dealer gets its own entity, a godown and a first user with SmartMy Trade.
  3. Each bill or credit note it posts with your items adds to its secondary sales. Its stock is read at each period's end.
  4. Tally or BUSY: press Connect Its Tally (or Connect Its BUSY). The dealer installs SmartMyTally on its PC and enters the licence key shown.
  5. Choose Its Tally Company from the companies open in TallyPrime. For BUSY, choose its company folder or a folder where it saves BUSY's reports.
  6. Every night its sales and returns of your items are read into secondary sales, and its stock into a dealer stock report.
  7. Match its item names to yours once, under Dealers' Tally Items or Dealers' BUSY Items. Other brands' items are marked Not Our Item.

Everything it does

Dealer selling from SmartMy Trade

  • Its own entity: its contact, GSTIN and address, your chart of accounts, a godown
  • A first user with Trade Manager rights in that entity only
  • Its purchase order to you becomes your sales order; your invoice becomes its bill
  • Who of Us Opens Its Entity: Our Salesman and Management (the default) or Nobody (Sales Figures Only)
  • Read Its Stock Now on the dealer reads its stock at once

Dealer on Tally

  • The dealer's own office server (SmartMyTally on its PC) gets a licence from your subscription
  • Read From: the first day of the month you connect, a setting on the dealer
  • Every night from 11 pm, and on Read Now: sales and credit notes by item. The period is read whole and replaced, so reading again never doubles
  • Closing stock read on the last day of each period
  • Lines of Items Not Matched: counted on the dealer until you match them

Dealer on BUSY

  • The same office server reads BUSY: the company folder (C:\BusyWin\DATA unless set otherwise), read only
  • Or Use the Exports Folder: the dealer saves BUSY's item-wise sales and stock status reports there (Alt+E, Excel or CSV)
  • Every night from 11.30 pm: sales and sales returns into secondary sales, the latest stock into dealer stock

What is read and what is not

  • Only your items: an item is matched once by code, barcode or name, or by you
  • Retailers by GSTIN or name; with retailer matching, also by phone, the dealer's spelling or a close name
  • Nothing is written to the dealer's Tally or BUSY
  • A PC that is off is read the next night from where it stopped
