Slab schemes over a month or quarter

A quantity slab scheme can be reached on everything a dealer buys over the scheme's period (QPS) instead of order by order. When the period ends, the slab each dealer reached, less goods it sent back, is claimed and credited through your approval chain.
PLANSFrom Growth

The problem it solves

  • Dealers split one big order into small ones and never reach a slab, or buy one huge order and send half back.
  • A quarterly scheme is settled by hand in a spreadsheet, dealer by dealer, weeks after the quarter ends.
  • Goods returned after the slab was reached still earn the discount.

How it works

  1. Create a Quantity Slabs scheme in Schemes and Claims > Schemes and set Slab Reached to Over the Period. Give it an end date: a period scheme needs one.
  2. During the period nothing is given on the orders. The portal's Schemes page shows each dealer what it bought, the slab reached and the next one.
  3. The day after the scheme ends, SmartMy works out each dealer's total. A manager can press Settle Now on an ended scheme instead of waiting.
  4. For each dealer the scheme covers, the quantity of its items on confirmed orders in the period, less approved returns, gives the slab reached. Its discount on the value bought is the credit.
  5. Each dealer gets a claim of kind Slab Reached Over the Period, with a line explaining it, sent to your Dealer Claim chain.
  6. Approved, the claim posts the credit note and the dealer is told. The scheme shows the date it was settled and is never settled twice.

Everything it does

Setting it up

  • Slab Reached: Per Order (to start with) or Over the Period; only for Quantity Slabs schemes
  • An end date is required for Over the Period
  • Items and categories, dealer groups and areas, entity and budget as for every scheme
  • Settled On: the date the scheme was settled, shown on the form

Working out the slab

  • Counts the scheme's items on the dealer's confirmed orders dated in the period, in the item's own unit
  • Free goods are left out
  • Returns approved in the period (by the credit note's date) are taken off the quantity and value; totals never go below zero
  • The highest slab whose From Quantity is reached is used
  • Credit = the slab's discount on the value bought, less any discount this scheme already gave on those lines
  • No claim is made for a dealer with no slab reached or no credit

Settling

  • A daily job settles every period scheme that ended before today and is not yet settled
  • Settle Now (distribution managers) on an ended scheme does the same at once and opens the claims made
  • Each claim has one line such as: 120 bought in Festive QPS: slab from 100, 3% on 240,000
  • Claims go for approval; the approval posts the credit note, without tax, and counts it on the scheme's budget
  • A return approved after the period is counted in the period it is approved in, so a settled scheme is never reopened

What the dealer sees

  • Schemes page: bought in the period (quantity and value), slabs with the reached one highlighted, a progress bar and the next slab
  • The scheme is left out of the live basket on New Order, since nothing is given per order
  • Dealer Claim Decided when the credit is approved

Who uses it

Approvals

  • Dealer claim: each dealer's period credit is a claim; distribution managers approve with no set-up; add levels or conditions on the amount

Notifications

  • Dealer Claim Decided: to the dealer, when its period claim is approved (the amount credited) or rejected (with the reason). Channels: in-app, email, SMS (from Growth) and WhatsApp (Scale). Sent at once
  • Approvers get a to-do for each claim waiting

Questions

Does the budget stop a period scheme's credit?

No. The end-of-period claims are made whatever the budget, and they count on it once approved. The 80 % warning still reaches the scheme's creator, and the approver can lower or reject a claim.

What if a dealer returns goods after reaching the slab?

Returns approved during the period are taken off its quantity before the slab is chosen. A return approved after the scheme was settled is not taken back from that scheme.

Can a scheme be per order and over the period at once?

No. Each slab scheme is one or the other. Run two schemes if you want both.

When is it settled?

By a daily job once the end date has passed, or at once with Settle Now on an ended scheme. Each scheme is settled only once.

Does the dealer see its progress?

Yes. The portal's Schemes page shows what it bought in the period, the slab reached and the next one. That figure does not yet take returns off; the settlement does.
