Price lists, margins and bulk price changes

Keep a price list per party group with quantity slabs, and a margin per category that suggests each item's price from cost. Change the prices of a whole brand, category or supplier at once, now or from a date.

Built; not yet tried end to end at a customer.

The problem it solves

  • A supplier raises prices by 4 % and someone spends a day changing items one by one.
  • Retail and wholesale rates are kept in two notebooks that never agree.
  • Selling prices are not updated when the cost goes up, so margins fall without anyone deciding it.
  • Nobody can say when an item's price changed, or why.

How it works

  1. Under Trade > Configuration > Items and Prices > Price Lists, make a price list for each kind of buyer, with rates or quantity slabs. Put it on a party group so new parties take it.
  2. On an item category, set its Margin (%). Each item of that category shows a Suggested Price: its cost plus the margin. Press Apply to make it the selling price.
  3. When a supplier changes prices, open Trade > Configuration > Items and Prices > Price Changes > New. Choose a category, a brand or a supplier, By % or By Amount, the change and the date.
  4. Press Apply Now, or leave it Waiting: a daily job applies it on its date.
  5. Every item changed gets a line in its history: the old price, the new price and the reason.

Everything it does

Price lists

  • Price lists with rates per item, category or all items, and quantity slabs by minimum quantity
  • Each party group has a price list given to a new party of the group; change it per party
  • Billing clerks use price lists without any extra setting
  • The party's last rate also shows on each bill line

Price from cost

  • Margin (%) on an item category
  • Suggested Price on the item: cost multiplied by one plus the margin
  • Apply sets the item's selling price to the suggestion; nothing changes until you press it
  • A category with no margin shows no suggestion

Bulk price changes

  • Which items: a category (with its sub-categories), a brand or a supplier, or a mix; at least one is needed
  • By % (+5 raises 5 %, -5 lowers) or By Amount
  • From: today to start with; a later date leaves it Waiting
  • A daily job applies the Waiting changes whose date has come
  • Items Changed counts what moved; a price never goes below zero
  • Each item's history shows old price, new price and the change's name

Rules that go with it

  • Minimum Rate per item and Largest Discount per party group hold low-priced bills for approval
  • Schemes add free goods and slab discounts on top of the price list

Where you use it

  • Web: Trade > Configuration > Items and Prices > Price Lists, Price Changes, Party Groups, Items
  • Web: the item category form (Margin) and the item form (Suggested Price, Apply)
  • Not built: approval of a price change, undoing a change in one step, or changing price lists in bulk. Bulk changes move the item's selling price

What you control

Settings

  • Margin (%) per category: none to start with
  • Price change From: today; Mode: By %
  • Price list per party group: none until you choose

Questions

Can we raise all prices of one brand by 3 % from the first of next month?

Yes. Make a Price Change for that brand, By %, +3, From the first. It waits and a daily job applies it on that date.

Does a price change touch our price lists?

No. It changes the item's selling price. Rates typed into a price list stay as they are, so check those lists after a change.

Can we undo a bulk change?

Make another change the other way. Each item's history keeps the old price, so you can see what it was.

Do wholesale parties get a different price?

Yes. Give the Wholesale party group its own price list, with quantity slabs if you want. New parties of that group take it.
