AI damage spotting with suggested repair costs

On a return check, the AI compares each photo with the same angle from the last check. It lists new damage it sees, with its confidence. It can also suggest a repair cost for each new damage line. Nothing is charged by itself: staff check every line. It comes with Growth and Scale and runs once switched on, using AI credits.
PLANSFrom Growth
Built; comes with Growth and Scale and runs once switched on. Tried on our test systems, not yet at a customer.

The problem it solves

  • Small scratches on rims and bumpers are missed at a busy return.
  • Staff guess repair costs, so the same dent is charged differently by two people.
  • Comparing fourteen photos with last week's by eye takes time the counter does not have.

How it works

  1. On Growth or Scale, switch on Settings > Checks > AI damage spotting for the Entity. An administrator switches AI on for each person in Administration > AI > AI Users.
  2. Take the photos on a check in progress (not a going-out check), on the web or in the Staff app.
  3. Press Spot Damage with AI. Each photo is sent with the same angle from the last check through the SmartMy AI service, with the damage already known. New damage comes back as lines marked Found by AI, with its confidence and the photo.
  4. Press Suggest Costs with AI to fill the Estimated Cost of new damage lines that have none, for your city and currency. They are marked Cost by AI with a note.
  5. Staff check each line, tick Charge Customer where right, and finish the check. Damage charges still wait for a manager.

Everything it does

Spotting

  • Up to 12 photo angles per run, each with its photo from the previous check
  • Photos over 9 MB are left out
  • Ignores dirt, water, light and angle changes; leaves out damage already known
  • Each line: area, description, Minor or Major, AI Confidence (%), the photo; New on, Charge Customer off
  • The check keeps AI Looked At and an AI Note ("No new damage found" or the count)

Costs

  • For new damage lines with no cost
  • Typical parts and labour where your Entity is, in its currency; fair wear and tear costs 0
  • Marked Cost by AI with a note on what the cost covers; staff can change it

Switching it on

  • Comes with Growth and Scale; not on Starter
  • AI damage spotting: a switch per Entity, off to start with
  • Each person needs AI switched on by an administrator
  • AI credits: 100 a month on Growth, 500 on Scale, shared by every AI action; more can be bought
  • Reached through SmartMy; you need no AI account of your own

Questions

Does the AI charge the customer?

No. It only adds damage lines with Charge Customer off. Staff decide what to charge, and a manager confirms damage charges.

Is it included in Growth?

Yes, on Growth and Scale. It runs once the Entity's switch is on and an administrator gives the person AI. Each run takes AI credits from the plan's allowance.

What does the AI compare?

Each photo with the photo of the same angle from the car's last signed check. It is told the damage already known so it leaves that out.

Can we trust the suggested cost?

Treat it as a starting point. It is a typical cost for your city and currency, marked Cost by AI with a note, and staff can change it.

CHECKSHandover and return checks with photos, meters and signaturesEvery handover and return runs through a check from your own template. Check points are cards by team, answered with one tap. The check also takes required photo angles, meter readings, the item list and damage marks. Each team signs its part, and the customer signs last. The new check starts from the last one, so readings show their value before and known damage is already listed. The signed report goes to the customer as a PDF.CHECKSCharges from return checks: fuel, AdBlue, kilometres and damageWhen the return check is signed, what the customer owes is worked out from it. That covers kilometres or hours over the allowance, missing fuel, AdBlue and charge, a lost key, and new damage marked to charge. Damage waits for a manager; the rest goes on the next bill.CHECKSDisputes on check reportsAfter a check is signed, the customer has a set number of days to dispute the report from their web page. Staff can open a dispute too, a Rent Manager even after the window, and the salesperson is given a to-do to answer it.SERVICE AND REPAIRSRepairs, who pays, and warranty and insurance claimsA check point marked Needs repair takes the car out of service and opens a repair. You record who pays: you, the warranty, the insurer or the customer. A customer charge waits for a manager to confirm, and warranty and insurance claims are followed to paid or refused.CUSTOMERSThe SmartMy Rental Staff app for the yardCounter and yard staff run the day from a phone. They see what goes out, comes back, is called off or overdue. They handle each car by QR scan, depot transfers and deliveries.
