Blocklist watch for your sending domains

Every day each sending mailbox's domain, tracking domain and own mail server are looked up on the main spam blocklists. A new listing pauses the mailbox and tells its owner.
PLANSFrom Growth
Built and tried on our test systems. The blocklists answer only a DNS resolver run on the servers themselves; until SmartMy's servers have their own, results say Not Checked. Set up with you before go-live.

The problem it solves

  • Your domain lands on a blocklist and emails quietly go to spam for weeks.
  • Nobody checks the lists until a client says your emails never arrived.
  • A listed mailbox keeps sending and makes the listing worse.

How it works

  1. Nothing to set up: once blocklist watch is in your plan, every mailbox that is Sending or Paused is checked once a day.
  2. The mailbox's domain and tracking domain are looked up on Spamhaus DBL, SURBL and URIBL.
  3. If the mailbox uses your own mail server, its address is looked up on Spamhaus ZEN, SpamCop, Barracuda and PSBL. Big mail providers such as Gmail and Outlook are skipped.
  4. The Blocklists tab shows Not Listed, On a Blocklist or Not Checked, when, and each list's answer. Check Blocklists runs it at once.
  5. On a new listing, with Pause When Listed on, the mailbox pauses and its owner gets Mailbox on a Blocklist with the lists named.

Everything it does

What is checked

  • Domain lists: Spamhaus DBL, SURBL (multi), URIBL (multi), for the sending domain and the tracking domain
  • Server lists: Spamhaus ZEN, SpamCop, Barracuda, PSBL, for the SMTP server's public addresses
  • Servers of big providers are skipped (Google, Outlook, Office 365, Yahoo, iCloud and the large sending services): their addresses are not yours to fix

Results

  • Not Listed, On a Blocklist, or Not Checked
  • A list that refuses to answer is shown as not checked, never as clean
  • Blocklist Results names each listing, such as "yourdomain.com on dbl.spamhaus.org"
  • Blocklists Checked keeps the time of the last check

When listed

  • Pause When Listed: on; a Sending mailbox is paused, with the reason as its last problem
  • A note on the mailbox and the event Mailbox on a Blocklist to its owner
  • You follow the list's removal steps, then press Resume

Who uses it

Marketing AdministratorGets the alert for mailboxes they own, asks for removal and resumes sending.
Marketing ManagerChecks the Blocklists tab before a large campaign.

Where you use it

  • Web: Marketing > Outreach > Mailboxes > a mailbox > Blocklists tab
  • Email and in-app: the alert to the mailbox owner
  • Not in the phone app: this is done on the web. The SmartMy Marketing app covers chats, contacts, posts, leads and campaigns

What you control

Settings

  • Pause When Listed: on, per mailbox
  • Daily check: fixed, once a day; Check Blocklists runs it at once

Notifications

  • Mailbox on a Blocklist: to the mailbox's owner, in-app and by email. It goes out at once, and the owner can switch off email but not the event

Questions

Why does it say Not Checked?

Spamhaus and some other lists refuse public DNS servers. The check needs a resolver on SmartMy's own servers; until that is in place, results say Not Checked rather than clean.

Does it check Gmail's or Outlook's servers?

No. If you send through a big provider, only your domain is checked; the provider's servers are theirs to look after.

Will it remove us from a list?

No. It tells you which list and pauses the mailbox. You follow that list's removal steps.

Can I keep sending while listed?

Yes, if you untick Pause When Listed on the mailbox. It is on to start with.
