Invoice, payment and delivery
Card payment on a terminal
Charge a job card's invoice on your card machine from the staff app. The amount goes to the terminal and the customer taps or inserts the card. An approved payment is registered on the invoice by itself, even if the app was closed.
PlansFrom GrowthON REQUEST
Built for Pine Labs, Razorpay and Stripe terminals; no terminal model has been tested yet. Switched on and tested with you before go-live.
The problem it solves
- The amount is typed into the card machine by hand and comes out wrong.
- A card payment is approved but never entered on the invoice, so the customer is chased for money they paid.
- At month end the card settlement does not match the invoices.
How it works
- 01
With SmartMy support, connect your terminal provider and set the terminal up under the sales counter. Tick Garage Invoices and choose the Garage Payments Journal.
- 02
On a job card with a confirmed invoice, the advisor taps Tap to pay in the staff app. The amount is what is due on the customer's invoice, never more.
- 03
Tap Charge on terminal. The app shows "Waiting for the card on ..." and checks the status every 2 seconds.
- 04
The customer pays on the terminal. Approved, Declined or Cancelled shows in the app.
- 05
An approved payment is registered on the invoice at once, with the transaction and card in the memo, even when the app was closed. Charge again tries another card; Cancel on the terminal stops a waiting payment.
Everything it does
What can be charged
- A job card's invoice: the customer's invoice, at most what is due; never an insurer's
- An advance on a job card: choose the card method in Take deposit and Charge on terminal
- Scale: the invoice of a service pack, membership or AMC, from the Contracts card or the vehicle screen. It takes the oldest unpaid; a draft is confirmed first
Rules
- One payment at a time per terminal, shared with the sales counter
- Starting the same invoice again returns the payment already waiting
- Timeout: 15 seconds to start with, a setting of the terminal
- Terminal Required on a card method: a deposit by that method must go through the terminal; untick it to accept a typed slip number
- An approved advance waiting for a counter session is recorded when a session is open, retried at each status check
- Recorded advances are not cancelled from the app
Records
- Garage > Reports > Money > Card Payments: every amount sent from a job card, with Waiting, Approved, Declined, Cancelled or Error
- Filter Approved, Not Registered: an approved invoice payment not on its invoice yet (deposits waiting for a session are not in this filter)
- The job card's Card payments section in the app
- Card details of the terminal provider are seen only by card terminal administrators
Status
- Built for the providers of SmartMy POS: Pine Labs Plutus Cloud, Razorpay POS (Ezetap) and Stripe Terminal, plus a Simulated Terminal for trying it
- The provider connection is not part of the plan's standard set-up: SmartMy support switches on your provider with you
- Not yet proven with a real terminal: we test your terminal with you before you take real payments
- Not built: tap to pay from the web job card; the web counter takes terminal payments for counter sales only
Who uses it
Where you use it
- The SmartMy Garage app: Tap to pay on the job card, Deposits and Contracts cards; needs signal. Built and in testing, not in the app stores yet.
- Web: Garage > Reports > Money > Card Payments, and the terminal set-up under the sales counter
- Not on the web job card: tap to pay is in the app
What you control
Settings
- Garage Invoices on the terminal: off until ticked
- Garage Payments Journal: the bank journal for approved card payments
- Test Mode: on while you try it
- Timeout: 15 seconds
FAQ
Questions, answered.
Which card machines work?
The connection is built for Pine Labs Plutus Cloud, Razorpay POS (Ezetap) and Stripe Terminal. No real terminal has been tested yet, so we try yours with you before go-live.
What if the advisor closes the app while the customer pays?
An approved payment is registered on the invoice anyway. Card Payments shows every amount sent and its status.
Can two advisors use one terminal at the same time?
No. A terminal takes one payment at a time, including sales at the counter. The second one waits.
Can we take UPI on the terminal?
Where your Razorpay terminal offers it, Push-to-Pay Mode can be Card, UPI, Bharat QR or All. This is set when the terminal is connected.
Can we refund a job card's card payment from the app?
Not today. Make a credit note and pay it back the usual way.
