Retailer sell-out (tertiary sales) import

Load retailers' and chains' POS files and portal exports as they come. Stores and items are matched once, and the sell-out feeds its own market measures, trends and the market map, kept apart from secondary sales.

The problem it solves

  • Your dealers do not report, but chains send weekly POS files in their own columns.
  • Every chain has its own store codes and item codes, so the files never line up with your lists.
  • A corrected file for the same week doubles the figures.
  • You see what dealers bought, not what shoppers took off the shelf.

How it works

  1. Under Configuration > Data Links > Sell-Out Sources make one source per retailer, chain or portal. Set whether rows are a date or a week, the heading row, and the column name for each figure.
  2. Under Market > Market Watch > Sell-Out (POS) > Sell-Out Imports, choose the source, attach the Excel or CSV file and press Load.
  3. Items match by barcode, then the retailer's item code, then your item code, then the exact name. Stores match by Store Matching, then a retailer's reference or name.
  4. New store and item codes are added to Store Matching and Item Cross-References with the outlet or item empty. Fill them once; waiting lines match at once.
  5. Matched lines feed Sell-Out Measures, Sell-Out Item Distribution, Sell-Out Trends, Sell-Out Rising and Falling, and the map with Sales from: Sell-Out (POS).

Everything it does

A source

  • Comes As: Retailer POS File, Chain Portal Export or Other; the retailer or chain contact
  • Rows Are: A Date per Row, or A Week per Row (dated on its Monday)
  • Headings on Row: 1 to start with
  • Columns: store code (Store), store name, barcode (Barcode), retailer item code, item name, date or week (Date), units (Units), value (Value)
  • Without a value column, value = units x the item's price; a date format if dates are unusual
  • A File Replaces Its Dates: on, so a corrected file can be loaded again

Reading files

  • Excel (.xlsx) or CSV with any delimiter and common encodings
  • Headings matched by name, ignoring capitals and extra spaces
  • Dates in many orders, Excel date numbers and ISO weeks
  • Rows Not Read lists rows with no date or units that are not a number

Matching

  • Store Matching: store code to outlet; Item Cross-References: their item code to your item
  • Lines not matched stay To Match and do not count until matched
  • Match Again on an import picks up matches made since

Where it shows

  • Sell-Out Lines: pivot, graph and list by outlet, area, item, week and month
  • Sell-out measures: outlets that sold, numeric and weighted distribution, must-sell coverage, dormant stores; counted over outlets whose stores send sell-out
  • Not in the head office drill-down or the app, which read secondary sales; the new launch tracker stays on secondary sales

Who uses it

Office staffSets up sources, loads files and matches new store and item codes.
Distribution ManagerReads sell-out measures and trends beside secondary sales.
Area ManagerUses the market map by sell-out to see which stores move your items.

Where you use it

  • Web: Distribution > Market > Market Watch > Sell-Out (POS) (Imports, Lines, Store Matching, Item Cross-References); Configuration > Data Links > Sell-Out Sources
  • Web: Reports > Market Intelligence > Sell-Out > Sell-Out Measures, Sell-Out Item Distribution, Sell-Out Trends, Sell-Out Rising and Falling; the Market Map
  • Not read from retailers' systems directly: files are loaded by your office
  • Not in the app or the head office drill-down

What you control

Settings

  • Per source: rows by date or week, heading row, column names, date format, A File Replaces Its Dates (on)

Questions

Does it mix sell-out with secondary sales?

No. Sell-out is its own source with its own measures and trends. Secondary sales screens do not change.

What if we load the same week twice?

With A File Replaces Its Dates on, the new file replaces what that source loaded for those dates.

Do we map every store each time?

No. Each store code and item code is matched once; later files use those matches.

Can it pull files from a chain's portal by itself?

Not yet. Your office downloads the export and loads it.

Which plan has it?

Scale.
