E-invoice and e-way bill

For Indian entities, posting a B2B invoice registers it on the government e-invoice system and prints the IRN and signed QR on it. E-way bills come from the invoice or the delivery. SmartMy talks to NIC itself, directly or through your GSP.
PLANSFrom Growth
Built from NIC's published API and checked against NIC's invoice schema. Not yet run in the NIC sandbox or live, and its tests against a simulated portal have not been run yet.

The problem it solves

  • Invoices are typed a second time into a GSP's portal to get the IRN.
  • The truck waits at the depot gate while someone makes the e-way bill on the government site.
  • An invoice is refused by the portal for a missing PIN code, and nobody notices for a week.

How it works

  1. Under Settings > Accounting > Indian Integration, tick E-Invoicing for each Entity above the turnover limit. Under Accounting > Configuration > GST Portal Connections, add the e-invoice and e-way bill connections, directly with NIC or through your GSP.
  2. Before posting, SmartMy checks what the portal would refuse: HSN on every line, GST, GSTINs, addresses, 6-digit PIN, state and the invoice number.
  3. Posting a B2B, export, SEZ or deemed export invoice, credit note or debit note sends it at once. The IRN, acknowledgement and signed QR come back and print on the invoice.
  4. On the posted invoice, or on the delivery, press E-Way Bill, add the transporter, mode, distance and vehicle, and Generate E-Way Bill.
  5. The dealer portal shows each delivery's e-way bill number, validity, vehicle and transporter on the order page.

Everything it does

E-invoice (IRN)

  • B2B, export, SEZ and deemed export invoices, credit notes and debit notes; B2C sales are not e-invoiced
  • IRN, acknowledgement and signed QR kept on the invoice and printed on its PDF
  • Incomplete data stops posting to start with (Stop Posting Incomplete E-Invoices)
  • A refusal shows on the invoice in red with its code; fix it and press Send E-Invoice
  • Portal down: the invoice stays To Send and is tried again every 30 minutes

Cancelling

  • Cancel E-Invoice within 24 hours of the IRN, with a reason and a remark
  • Not while the IRN has an active e-way bill: cancel that first
  • After 24 hours, make a credit note; an invoice with an IRN cannot go back to draft

E-way bills

  • From a posted invoice (by IRN when it has one), or from a delivery or receipt
  • Transporter GSTIN or TRANSIN, mode, distance (0: worked out from PIN codes), vehicle, transport document
  • Update Part-B, Extend Validity (8 hours either side of its end), Cancel within 24 hours
  • A banner on documents above the limit (Rs 50,000 to start with) with no e-way bill
  • Number, validity and vehicle print on the invoice and delivery slip

The connection

  • One connection per Entity (GST number) for e-invoice and one for e-way bill
  • Direct NIC API, or a GSP with its URL, headers, paths, and NIC encryption or plain JSON
  • Sandbox or Production; Test Sign-in checks it
  • Passwords and secrets stored encrypted, seen only by the administrator, never written to logs

GST returns

  • GSTR-1 B2B, export and credit or debit note sections get an IRN column, to match against what the portal fills in

Questions

Do we need a GSP?

No, if NIC gives your Entity direct API access. Otherwise use your GSP's URL and keys. Either way SmartMy sends the invoices itself.

Is it live with NIC today?

Not yet. The connection is written from NIC's published API and checks its invoice data against NIC's schema. It has not yet run in the NIC sandbox. We try it there with you before you go live.

What if the portal is down when we post?

The invoice is posted and stays To Send. SmartMy tries again every 30 minutes, or you press Send E-Invoice.

Can we cancel an e-invoice?

Yes, within 24 hours of the IRN and after cancelling its e-way bill. After that, make a credit note.
