Dealers of a SmartMy Distribution brand billing from Trade

If a brand you deal for runs SmartMy Distribution, it can set you up with SmartMy Trade in your own Entity in its account. You bill your retailers, keep stock and your party ledger there. Your purchase order to the brand becomes its sales order, and its invoice your bill. Your sales of its items reach it without a monthly report.
PLANSEvery plan

The problem it solves

  • The brand asks for a stock and sales report every month, and someone types it from your billing software.
  • The brand's invoice is typed into your books again when the goods arrive, with a mistake or two.
  • You need billing software anyway, but buying and setting one up is a project you keep putting off.

How it works

  1. The brand's distribution manager presses Sells from SmartMy: Set Up on your dealer record. You get your own Entity, with your name, GSTIN and address, a godown, and a first user with Trade Manager rights in your Entity only.
  2. You sign in to SmartMy Trade on the web or in the app. Bill your retailers, take payments, keep stock and close the day, like any Trade shop.
  3. When you need goods, raise a purchase order to the brand. It becomes the brand's sales order. The brand's invoice becomes a draft bill in your books, which you check and post.
  4. Each bill or credit note you post with the brand's items adds to its secondary sales for the period, with the retailer, quantity and value. A bill you reset or cancel takes its lines back out.
  5. On the last day of each period, your stock of the brand's items is read into the brand's dealer stock report. Nothing has to be sent.

Everything it does

Your Entity

  • Your contact, GSTIN and address, the brand's chart of accounts and a godown
  • A first user with Trade Manager rights in your Entity only; add your own staff with their roles
  • Items and parties you create belong to your Entity, including other brands you sell
  • Your shops here are paid for by the brand's Distribution plan, not as Trade shops

What the brand receives

  • Secondary sales: your posted bills and credit notes with its items, by retailer, item, quantity and value
  • Dealer stock: your closing stock of its items at each period end, or at once when it presses Read Its Stock Now
  • Only lines with its items or items shared with it; your other brands' items are left out of its reports

Who of the brand can open your Entity

  • Set on your dealer record, as agreed between you and the brand: Who of Us Opens Its Entity
  • Our Salesman and Management, the starting choice: your salesman, your area's managers and above, and the distribution managers can open your Entity. Their roles can show your bills, parties and other brands
  • Nobody (Sales Figures Only): no one from the brand opens your Entity; the brand still gets the secondary sales and stock of its items

Buying from the brand

  • Your purchase order to the brand becomes its sales order, through an inter-company rule made at set-up
  • The brand's invoice becomes your draft bill with the same number, date and lines

Where you use it

  • Web: SmartMy Trade in your Entity of the brand's account
  • The SmartMy Trade app: quick bills, parties, stock and Today (built and in testing, not in the app stores yet)
  • Not for a dealer who keeps its own SmartMy account: this runs inside the brand's account. Dealers on Tally or BUSY report through the brand's SmartMyTally connection instead

What you control

Settings

  • Who of Us Opens Its Entity: Our Salesman and Management to start with; Nobody (Sales Figures Only) if you agree so
  • Reporting period: week or month, set by the brand

Notifications

  • Your parties get Bill Sent and Payment Received from your Entity, as any Trade shop's

Questions

Who pays for my SmartMy Trade?

The brand. Dealers on SmartMy are charged to the brand's Distribution subscription, not as Trade shops.

Can the brand see my other brands' sales?

Its reports take only its own items. With Our Salesman and Management, the starting choice, its people can open your Entity with their roles, which can show everything in it. Ask for Nobody (Sales Figures Only) if you want your Entity closed to them.

What happens if I stop dealing with the brand?

Your Entity sits in the brand's account. Agree with the brand before you start how your data is handed over to you if you part ways.

Do I have to type the brand's invoice?

No. The brand's invoice becomes a draft bill in your Entity with the same number, date and lines. You check and post it.
