Customer job page and messages

Approve line by line and pay online from the job page

On the job page, the customer ticks the work they want, types their name and signature, and approves or declines. Each decision is kept with how, when and by whom. When the invoice is ready, Pay now takes them to your payment provider and the payment lands on the invoice.

PlansEvery plan

The problem it solves

  • Work is approved on a phone call, and the customer later says they never agreed.
  • Mechanics wait for an hour while the advisor chases the customer for a yes.
  • Customers want to pay before they arrive to collect the car.

How it works

  1. 01

The advisor clicks Ask to Approve, or moves the job card to a Waiting for Approval stage. The customer gets Estimate Ready with the link.

  2. 02

On the page, the customer ticks lines, or All the work waiting for you. They type their name twice: Your name and Signature. Then they click Approve the ticked work or Decline the ticked work.

  3. 03

The lines change to Approved or Declined, with "Signed by" and the name. The advisor gets Customer Decided Online and the work can start.

  4. 04

Work found later waits on the same page; the customer gets Extra Work Found.

  5. 05

When an invoice is confirmed, Pay now appears next to it. The customer picks how to pay on the payment page and comes back to the job page.

  6. 06

The payment is reconciled on the invoice, and the customer gets Payment Received.

Everything it does

Approving

  • Each line, or all waiting lines at once; to approve some and decline others, do it in two steps
  • Name and typed signature are both required
  • Recorded on each line: how (Customer Page), when, the name, the typed signature, and the signed-in customer if there is one
  • A note in the job card history with the lines and the amount
  • Totals: Approved before taxes, Taxes, Approved total, and what is still Waiting for you
  • Standing approval given at check-in is respected: work found within it is approved without asking again
  • Closed job cards (delivered or cancelled) cannot be decided on the page
  • A line decided again in the shop loses its page signature, so the record shows the latest decision

Paying

  • Pay now for confirmed invoices that are not paid, or part paid
  • The server sets the amount (what is left to pay), the payer and the branch's payment provider; the browser cannot change them
  • The customer pays the whole amount left; choosing a smaller amount is not offered
  • Saved cards or methods only for a signed-in customer
  • The payment is reconciled on the invoice; a part payment message tells what is left
  • Your own payment provider account for the branch, set up and tested with you before go-live

Switches

  • Approvals on the Page: on to start with; off, the page shows the estimate without tick boxes
  • Online Payment: on to start with; it shows Pay now only when the branch has a payment provider

FAQ

Questions, answered.

Is a typed signature enough proof?

The page records the name, the typed signature, the time and the lines, and notes it in the job card history. Whether that is enough for you is your choice; you can also record decisions given in person.

Which payment methods can customers use?

Those of the payment provider you set up for the branch, such as cards, UPI or net banking where the provider offers them. We set it up and test it with you before go-live.

Can customers pay part of the bill online?

Not on the page: Pay now takes the whole amount left. Part payments taken at the shop are shown, and the rest can be paid online.

Can we turn online approval off?

Yes. Switch off Approvals on the Page and record decisions in the shop. The estimate still shows on the page.
