Contracts
Annual maintenance contracts (AMC) for vehicles
Sell an AMC for one or more vehicles with the services and parts it includes. Set how many of each, for how long, and any discount on other work. It is invoiced upfront or every month and used up on each job card by itself. The customer and the advisor are reminded before it ends.
PlansFrom Scale
The problem it solves
- AMCs are written on paper, and at each visit the advisor guesses whether the service is already paid for.
- A customer uses three free services on a two-service contract because nobody counted.
- Contracts end without anyone offering a renewal.
How it works
- 01
Make the plan once in Garage > Configuration > Customers > Contract Plans with kind Maintenance Contract (AMC). Set how many months, vehicles at most, upfront or monthly, and the price.
- 02
On the Included tab, add each service or part (or any of a category) and how many are included. Say whether that is for the whole term or each month. Add discounts on labour and parts if the plan gives them.
- 03
Sell it in Garage > Contracts > Contracts: choose the plan, the customer and the vehicles, check the dates and click Activate. The invoice is made once, or every month.
- 04
When a covered car comes in, its contracts show on the job card's Contracts tab. Included lines are not charged and the balance goes down; discounts lower labour and parts.
- 05
Before the end, the customer and the advisor are reminded. Click Renew to make the next contract.
Everything it does
The plan
- Kind: Maintenance Contract (AMC), Service Pack or Membership
- Months (12 to start with; 0 means until cancelled), Vehicles at Most (0 means any number)
- Billing: Upfront (the default) or Monthly, with the price or the monthly fee
- Included: service or part, or any of a category; quantity (0 means no limit); whole term or each month
- Discount on Labour (%) and Discount on Parts (%)
- Description in the customer's words
On the job card
- Included lines are not charged; when little is left, the line is covered in part
- Covered By and the kind of cover (Included or Discount) on each line
- A declined covered line gives back what it used
- Apply Contracts works the cover out again after changing lines
- Storage is never discounted by an AMC
The contract
- Included, used and left; every use with its job card; Value Given (what the customer saved)
- Next Invoice and the Invoices button
- A workshop manager can Cancel it; its invoices stay
- Past its end date it becomes Expired
On the customer's page
- The job page and My Vehicles show the customer's AMCs for that vehicle and branch: validity, included, used and left, discounts and value saved
Who uses it
Where you use it
- Web: Garage > Configuration > Customers > Contract Plans; Garage > Contracts > Contracts; the job card's Contracts tab
- The customer's job page and My Vehicles
- The SmartMy Garage app: contracts with balances on the job card and the vehicle, Pay or Tap to pay a contract invoice. AMCs are agreed on the web. Built and in testing, not in the app stores yet.
What you control
Settings
- Remind Renewals: 30 days before the end
- Contract Invoices: the product on contract invoices when the contract names none
Messages and alerts
- Contract Renewal Due: to the customer, 30 days before the end, by WhatsApp, else SMS, else email, and in-app for a customer with a login. It is promotional, so it waits for quiet hours and can be switched off. The advisor gets a to-do
FAQ
Questions, answered.
Can one AMC cover several cars?
Yes. Choose the vehicles on the contract, up to the plan's Vehicles at Most (0 means any number).
Can the AMC be paid monthly?
Yes. Choose Monthly billing and a monthly fee. An invoice is made each month; Next Invoice shows the date.
How does the advisor know what is covered?
The job card's Contracts tab lists the car's contracts, and each covered line shows Covered By and whether it is included or discounted. The charge drops by itself.
What happens when the term ends?
Thirty days before, the customer and the advisor are reminded. Renew makes the next contract. Past the end date it becomes Expired.
