Dealer loyalty points

Dealers earn points on every bill you post to them and take them as gifts from your catalogue or as a credit note. Each request goes through your approval chain, and dealers follow it on the portal.
PLANSFrom Growth

The problem it solves

  • Your loyalty programme lives in a spreadsheet that one person updates once a quarter.
  • Dealers ask how many points they have and nobody can answer on the phone.
  • A gift is promised, and months later nobody remembers who approved it.
  • Points stay on bills that were later cancelled or returned.

How it works

  1. In Settings > Dealer Orders > Dealer Points, set how much buys one point (1,000 to start with) and a point's credit value (1.00).
  2. Add gifts in Configuration > Products and Prices > Dealer Gifts, each with its points, a picture and a description.
  3. Each bill posted to a dealer earns points on its goods, before tax. A credit note for goods takes them back; a bill reset to draft or cancelled loses them.
  4. The portal's Points page shows the balance, its worth as credit and the gifts it can afford (Ask for It). The dealer can also take points as a credit note.
  5. The request goes for approval. Approved, the points are taken off: a credit note request posts the credit note; a gift is marked Given when handed over. Rejected, the reason shows on the portal.

Everything it does

Earning

  • One point for every 1,000 bought, before tax (a setting); whole points per bill
  • Goods lines only: credit notes for claims or for points take nothing back
  • A goods credit note, such as a return, takes the points of those goods back
  • Reset to draft or cancelled: the bill's points are removed
  • Points are earned once per bill
  • Work Out Points (Dealer Points list, Action menu) earns on bills posted before you started

Spending

  • Gift: from the catalogue, at the gift's points
  • Credit note: any whole number of points, at the value of a point (1.00 to start with), posted without tax
  • Send for Approval checks the balance; approval checks it again
  • States: Draft, To Approve, Approved, Given, Rejected; numbered DPR/2026/0001
  • A gift approved waits in the Gifts to Give filter until Mark Given

Records

  • Dealer Points: every earned, redeemed and adjusted line, by dealer, with its bill
  • Add a line by hand to adjust a dealer's points
  • The balance on the dealer's form
  • Points are kept per entity

On the portal

  • Your Points and Worth as a Credit Note
  • Gifts with pictures; Ask for It when the balance covers it, otherwise how many more points are needed
  • Take as a Credit Note, History (last 30 lines) and Your Requests (last 20, with the reason if rejected)
  • The balance on the Overview

Where you use it

  • Dealer portal: Points page and the balance on the Overview

  • Approvals: the Dealer Points Request chain
  • Not in the salesman app

What you control

Settings

  • One point for every: 1,000 bought, before tax
  • A point is worth: 1.00 as a credit note
  • The gift catalogue: name, points, picture, description, entity
  • The Dealer Points Request approval chain

Approvals

  • Dealer points request: distribution managers approve with no set-up; add levels, conditions on the credit amount, or set it to Approved at Once

Notifications

  • Approvers get a to-do for each request waiting
  • Not sent to the dealer: no notification event is raised when a request is decided; the dealer sees the state on the Points page

Questions

Do points expire?

No. Points do not expire and there are no tiers. You can take points off by hand with an adjusting line.

What happens to points when a dealer returns goods?

The credit note for the returned goods takes their points back. A bill reset to draft or cancelled loses its points too.

Can a dealer take points as money?

As a credit note on its account, at the value of a point you set. It is approved like a gift, and posted once approved.

Is the dealer told when a request is approved?

Not by a message yet. The Points page shows each request's state and, if rejected, the reason.

Is this the same as retailer loyalty?

No. Dealers earn on what they buy from you, from Growth. Retailers earn on what they buy from their dealer, with retailer ordering in Scale, with their own gift catalogue.
